Timeline

What actually happens, week by week

  1. Day one

    You fill out the request

    Ten minutes of plain questions: dates and flexibility, room counts by night, meeting space and setups, meals, and the extras you want negotiated.

  2. Within one business day

    Miss Renee calls you

    She has already read every answer. The call confirms the details and catches the things a form cannot, like a board meeting that has to end before flights out.

  3. Days two to five

    Sourcing

    A formal RFP goes to properties that actually fit, with your room block, space needs, and every requested concession spelled out.

  4. Week two

    Negotiation

    Rate, concessions, attrition percentage, cutoff date, cancellation schedule, deposits, and fees. This is where the money and the risk live.

  5. When it's ready

    One clear proposal

    A single page: the hotel, the rate, the rooms by night, the terms in plain English, and every extra secured. You push yes.

    Still your person

    Cutoff reminders, rooming list help, changes, and a phone number that a human answers.

Contract terms

The clauses Miss Renee negotiates before you sign

Attrition

The share of your room block you promise to fill. Miss it and the hotel bills you for the empty rooms.

Miss Renee negotiates the percentage down and builds the block from realistic numbers, not hopeful ones.

Cutoff date

The day unbooked rooms in your block go back to the hotel, usually 30 days out. After it, your rate is gone.

Miss Renee pushes the cutoff later and reminds you before it lands.

Cancellation terms

A sliding scale of what you owe if the event moves or stops, often a percentage of the whole block.

Miss Renee trades penalties for a rebooking clause whenever a hotel will do it.

The contract is between your organization and the hotel. You sign it, and you pay the hotel directly. The Details never collects your payment information.
